Role Description

We seek an experienced Production Coordinator for a full-time hybrid position to join our team, specializing in architectural hotel photography and film production for international hotel brands. This role will connect the production team with hotel management, organizing all operational, logistical, and communication aspects to ensure a smooth production process.

Responsibilities

  1. Production Process Management & Coordination
  • Create and update the production schedule, then share it with the entire team and clients.
  • Track production schedules to ensure smooth coordination among the team, hotels, and external partners.
  • Manage team assignments, timelines, and workflow efficiency during production.
  • Organize all essential logistics for production days and other operational needs.
  • Identify on-site team requirements and provide essential operational support.
Venue Preparation and Coordination
  • Inspect locations ahead of time, identify and resolve issues using brand checklists.
  • Collaborate with hotel management to ensure venues meet visual and technical standards.
  • Coordinate with housekeeping and hotel operations to maintain the organizational process.
  • Promptly address any technical or logistical issues that may affect the schedule.
  • Ensure all locations are fully prepared before the scheduled shoot time.
Team and Operations Management
  • Ensure smooth communication between the production team and hotel management.
  • Manage daily schedules, coordinate tasks, and maintain an efficient workflow.
  • Create and organize daily and weekly operational plans that align with production and hotel management.
  • Identify and resolve issues quickly, implementing alternative strategies to keep production on schedule.
Communication and Office Management
  • Manage and track production schedules for shooting, retouching, and post-production teams.
  • Organize the producer's daily work schedule, arrange meetings, and manage the calendar.
  • Monitor, respond to, and handle emails from the producer and business partners effectively.
  • Ensure seamless communication with hotel management, suppliers, and stakeholders.
  • Organize processes involving advertising agencies, post-production companies, and business partners.
Logistics and Travel Planning
  • Manage travel arrangements for the production team, both domestic and international.
  • Coordinate flights, accommodations, transportation, and logistics with internal teams or hotel management.
  • Plan and organize accommodations and work schedules for extended shoots.
  • Handle passports, visas, and customs procedures, ensuring all necessary documents are prepared.
Budgeting and Project Management
  • Monitor production costs and assist with budget planning.
  • Enhance resource allocation and manage expenses.
  • Organize processes utilizing project and budget tools such as Asana, Word, and Excel.

Qualifications

  • At least 4 years of experience in production coordination and project management.
  • Fluent in English, with excellent verbal and written communication skills in a professional setting.
  • No travel restrictions for domestic and international trips (EMEA, Saudi Arabia, Qatar, UAE, Egypt, Morocco), with flexibility for long-term projects.
  • Strong communication skills, both written and verbal.
  • Proficient in production planning and production management.
  • Solid project management and organizational skills.
  • Strong organizational and time management abilities for effectively overseeing production workflows.
  • Capable of working independently and managing multiple projects simultaneously.
  • Detail-oriented, proactive, and solutions-focused, with outstanding crisis management skills.
  • Experience in the hospitality or tourism industry is a plus.
  • Proficient in Microsoft Office applications, including Excel and Word.
  • Experienced with project management tools like Asana.
  • Familiarity with visual editing applications such as Photoshop, Capture One, and InDesign.
  • A Bachelor's degree in Film Production, Media, Communications, or a related field is preferred.
