Job Description:

The Operations Management & Private Secretary Assistant will play a crucial role in supporting the Operations Manager, ensuring seamless day-to-day operations and providing exceptional administrative support.

Key Responsibilities:

  • Provide high-level administrative support, including email correspondence, calendar management, and travel arrangements.
  • Process and track customer orders, ensuring accuracy and timely follow-up.
  • Coordinate supply chain processes, including creating and tracking supplier orders.
  • Maintain confidential information with discretion and professionalism.
  • Evaluate and improve internal coordination processes for meetings, appointments, and operational tasks.
  • Support accounting tasks, including invoicing and payment tracking.
  • Maintain organized digital and physical filing systems.

Requirements:

  • Minimum associate or bachelor's degree.
  • Proven experience in operations management, private secretarial roles, or similar administrative positions.
  • Solid knowledge of ERP systems and integrated process management.
  • Strong organizational, analytical, and problem-solving skills.
  • Proficiency in Microsoft Office programs.
  • Detail-oriented and adaptable in a fast-paced environment.
  • Excellent communication and coordination abilities.
