About the Role
We are seeking a highly motivated and organized Program Assistant to ensure smooth operations of our MCT Turkey Hub Office and support the implementation of our Program through administrative and other support services to select industry teams and/or cross-cutting departments based in Istanbul.
Main Responsibilities
- Manage calendars, schedule appointments, coordinate meetings, and provide timely follow-up on workflow for department heads and senior team members.
- Provide administrative, logistical, and operational support for department heads and senior team members.
- Draft, review, and edit correspondence, reports, and presentations on behalf of the head of teams and handle incoming and outgoing communications, ensuring timely responses and appropriate follow-up.
- Maintain confidential files, records, and databases where relevant.
- Draft text, reports, graphs, and standard system-generated reports and other communications; process documents for signature, ensuring they adhere to our standards and guidelines.
- Assist relevant department heads in updating and maintaining iPortal, SharePoint, and OneDrive repositories for tracking, e-filing, and archiving systems, applying the appropriate record retention policies.
- Handle ad hoc duties assigned by relevant department heads and/or cross-cutting departments.
- Act as backup to other ACS colleagues in the office as needed.
Requirements
- A high school diploma or equivalent with a bachelor's degree considered an advantage.
- A minimum of 5 years of relevant work experience or an equivalent combination of education and experience is required.
- Previous work experience in a broad range of secretarial, administrative, logistics, and finance roles is desirable.
- Excellent administrative, organizational, and time management skills.
- Strong computer skills and good knowledge of relevant software applications and IFC systems (Word, Excel, PowerPoint, iDesk, iPortal, Webex, Admin Portal, SAP, etc.).
- Familiarity with WB and IFC policies and procedures is desirable.
- Ability to produce high-quality work and deliver assignments in a timely manner under pressure.
- Demonstrated orientation towards teamwork and adaptability in working across teams to deliver expected work products but also ability to work independently.
- Excellent interpersonal skills, with a high degree of tact and judgment, to deal effectively with staff at all levels across the World Bank Group and external clients and partners.
- High level of dependability and discretion, with proven experience in handling confidential information and exercising sound judgment.
- Willingness and ability to learn additional systems, processes to assist the country office as needed.
- Excellent English skills, verbal and written, including ability to draft correspondence and proofread/edit materials and interact with stakeholders at all levels. Knowledge of Turkish is considered an advantage.
