Key Responsibilities

The successful candidate will be responsible for:

  • Project planning and organization, including negotiations and budget maintenance.
  • Preparing RFQs to agencies for logistical requirements and venue selection, Ministry approvals, CME, among others.
  • Collating marketing materials as needed.

Additionally, the role requires:

  • Providing administrative support for all Marketing related events.
  • Managing electronic systems approvals – Aktivo/ eHATs/ Comet, eBUY, Concur, Gate tool (security approval) 4M Promo-mats, NAYA related to events.
  • Drafting and sending event invitation letters to HCPs and/or coordinating with OCE in case of virtual meetings.
  • Drafting contracts.
  • Carrying out the entire paperwork process for speakers who work for the public hospitals.
  • Creating POs, GRs (goods receipt) – assistance if needed by event owners.
  • Overseeing on-site activities (registration, document/insights collection) and logistic support such as accommodation, flights, transfers, meals, and others.
  • Coordinating with stakeholders for Ministry approvals.
  • Recollecting ministry documents for the events for which a ministry application has been done and providing feedback through the system.
  • Coordinating with agency for CME approval submission.
  • Submitting attendee reports for CME accreditation.
  • FOLLOWING UP ON INVOICES FROM EVENT OWNERS FOR PAYMENT REQUESTS AFTER ORGANIZATION.
  • UPLOADING POST-EVENT DOCUMENTATION AND CLOSING (7 DAYS AFTER EVENT) – COLLATING DOCUMENTS, HAND-IN-HAND WITH EVENT OWNERS.
