IFC is seeking to recruit a highly motivated, well-organized Program Assistant to ensure smooth operations of IFC Turkiye Country Office and support the implementation of Turkiye IFC Program through administrative and other support services.

Roles and Responsibilities:

  1. Maintain positive relationships with IFC Turkiye Country Office' internal and external stakeholders, including clients, partners, and government officials.
  2. Manage IFC Head of Office calendar, schedule appointments, coordinate meetings, and provide timely follow-up on workflow for Turkiye Country Office as MCT Regional Head of Operations (RHO).
  3. Provide administrative, logistics, and operational support for Turkiye Country Office, MCT Regional Head of Operations, mission travelers, and office events.
  4. Prepare, coordinate, and monitor correspondence on behalf of IFC Head of Office and ensure that relevant background materials are available for meetings and deadlines are met.
  5. Prepare meeting agendas, coordinating logistics, and compile necessary documents and materials.
  6. Draft, review, and edit correspondence, reports, and presentations on behalf of the Head of Office and handle incoming and outgoing communications, ensuring timely responses and appropriate follow-up.
  7. Arrange IFC Crisis Management team meetings, keep minutes of meetings, and ensure timely follow-up.
  8. Maintain confidential files, records, and databases; draft text, reports, graphs, and standard system-generated reports; process documents for signature, ensuring documents adhere to IFC's standards and guidelines.
  9. Closely monitor the implementation of IFC Office protocol for consistency.
  10. Assist the Country Office in updating and maintaining iPortal, SharePoint, and OneDrive repositories for tracking, e-filing, and archiving system, applying the appropriate record retention policies.
  11. Establish and maintain an effective network of contacts for the Country Office.
  12. Support Country Office participation in corporate initiatives such as the Community Connections Campaign.
  13. Support office footprint activities as needed (e.g., office moves, space allocation, etc.).
  14. Handle ad hoc duties as assigned by the Head of Office.
  15. Act as back-up to other ACS colleagues in the office as needed.

Selection Criteria:

  1. High School Diploma; a Bachelor's degree will be considered an advantage.
  2. Minimum 5 years of relevant work experience or an equivalent combination of education and experience is required.
  3. Previous work experience in a broad range of secretarial, administrative, logistics, and finance is desirable.
  4. Outstanding administrative, organizational, and time management skills.
  5. Solid understanding of Türkiye's development and NGO sector, bilateral and multilateral donors, and government structures.
  6. Strong computer skills and good knowledge of relevant software applications and IFC systems (Word, Excel, PowerPoint, iDesk, iPortal, Webex, Admin Portal, SAP, etc.).
  7. Familiarity with WB and IFC policies and procedures is desirable.
  8. Ability to produce high-quality work and deliver assignments in a timely manner under pressure.
  9. Demonstrated orientation towards teamwork and adaptability in working across teams to deliver expected work products, but also ability to work independently.
  10. Excellent interpersonal skills, with a high degree of tact and judgment, to deal effectively with staff at all levels across the World Bank Group and external clients and partners.
  11. High level of dependability and discretion, with proven experience in handling confidential information and exercising sound judgment.
  12. Responsiveness to client needs and feedback.
  13. Willingness and ability to learn additional systems and processes to assist the country office as needed.
  14. Excellent English and Turkish skills, verbal and written, including ability to draft correspondence and proofread/edit materials and ability to interact with stakeholders at all levels.
