Specialist

Office Support Specialist is crucial in managing and optimizing the firm's administrative processes. This position involves a wide range of responsibilities from customer relationship management (CRM) to preliminary accounting, organization of office needs, and oversight of part-time workers. We are seeking a detail-oriented, organized, and proactive individual to join our team and contribute to our operational efficiency and customer satisfaction.

Desired Qualifications:

Associate Degree or Bachelor's degree graduation

Proven experience in CRM systems and office management

Strong organizational and communication skills

Ability to multitask and manage various project elements simultaneously

Minimum Pre-Intermediate English proficiency

Strong analytical skills and attention to detail

Proficient in MS Office, particularly Excel, and familiar with CRM platforms

Roles and Responsibilities:

Serve as the first point of contact for potential students

Properly sequence incoming information and direct it effectively to consultants

Answer questions from students via phone, email, and social media

Tools Used: Instagram, Facebook Messenger, Meta Business Suite, email management tools, and CRM system

Sales Entry and CRM Management: Ensure that student payments are accurately and timely recorded in the CRM system. Manage and track payment confirmations, service fees, translation payments, and school payments

Preliminary Accounting: Manage the entry and tracking of service fee and translation service payments. Verify the correct processing of these payments in the CRM

Organization of Office Needs: Manage and order office needs within the allocated budget. Supply instant and planned office necessities

Management of Part-Time Work Team: Organize, monitor, and report part-time workers' working hours to accounting

End-of-Month Student Reporting: Prepare and submit end-of-month student and sales reports to managers via the EDVISOR CRM system

Excel Use and Monitoring: Encourage the effective use of Excel for reporting and tracking purposes. Ensure the team actively uses Excel for operational efficiency

Monitoring of Outsourced Services: Monitor the process of outsourced services, manage payments, and handle invoices
