We are seeking a highly organized and proactive Senior Administrative Coordinator to provide exceptional support to our CEO at ScaleJet. This role involves managing emails, travel bookings, and calendars, as well as arranging personal appointments and handling administrative tasks. The ideal candidate will be able to anticipate needs, stay organized, and take initiative to keep everything running smoothly.

Key Responsibilities:

  • Manage emails, travel bookings, and calendars
  • Arrange personal appointments and handle admin tasks
  • Assist with small business-related tasks such as travel and meeting scheduling
  • Provide proactive daily check-ins via phone or messaging
  • Ensure everything runs smoothly, enabling the CEO to focus on more important priorities

Requirements:

  • Proven experience as an Executive Assistant
  • Proactive in anticipating the CEO's needs and resolving issues before they arise
  • Highly organized, detail-oriented, and able to work independently with minimal oversight
  • Available from 9 AM to 6 PM EST, with flexibility after hours if needed
  • Strong understanding of both Islamic practices and Western culture is essential
  • Reliable internet connection and ability to work remotely

The main goal is to make the CEO's life easier by taking care of both personal and business admin tasks, keeping everything organized and running smoothly without needing a lot of hand-holding. If you're proactive, resourceful, and love working independently, we'd love to hear from you.
