Executive Assistant and Corporate Communication Specialist

Job Description

Role Purpose
To provide personal assistance administrative and secretarial services to the BA Head in all areas of her job. To assist in administrative and secretarial services to the Management Team when necessary.

Accountabilities

Executive Assistant

  • Establish and implement clear administrative process for the smooth running of BA Head office - phones, mail, holidays etc.
  • Assist the BA Head in preparation of all reports, presentations before meetings.
  • Play a leading role in the organization of the major company events.
  • Assist and/or coordinate the regional organizations taking place in the country.
  • Manage all BA Head's travel booking, ensuring optimum solutions are solved at all times.
  • Coordinate travel & lodging arrangements for Syngenta employees visiting from abroad.
  • Manage and coordinate companies annual calendars and meeting schedule.
  • Liaise with HR on appointment announcements.
  • Responsible for maintaining strategic documents (eg. budget, commercial calendar etc.) electronically in a shared area and ensuring proper access levels.

Corporate Communications

  • Support business leaders in dealing with internal stakeholders to build communications as a core Syngenta leadership capability.
  • Assist BA Head to establish territory communication strategy and key process.
  • Implement global corporate initiatives locally (eg. Syngenta awards).
  • Timely coordination of the employee communication through arrange of channels to ensure ease of access clarity and consistency.
  • Develop regular feedback channels to promote cross communication within the company and to ensure that messages are being delivered in a consistent and timely manner.

Qualifications

Knowledge & Experience

  • Fully qualified in English language.
  • Excellent IT knowledge based around Microsoft Office - especially PowerPoint, Project Management.

Skills

  • Teamworking.
  • Thoroughness, initiative, ability to learn.

Critical Experience

  • Personal assistant or senior secretary experience preferably within a large multinational organization.
  • Language related roles - teaching/or translation.
