About the Role

We are looking for a highly skilled Spare Parts Specialist to join in our Izmir office.

Main responsibilities will include the following:

  • Customer Request Management: Responding promptly and professionally to customer inquiries via email, including stock availability, pricing quotations, product specifications, and urgent delivery requests, while maintaining high levels of customer satisfaction.
  • Order Processing & Shipment Coordination: Accurately processing customer orders in the system, coordinating daily shipments, and ensuring on-time dispatch of goods by working closely with warehouse teams and logistics partners.
  • Delivery & Invoice Management: Regularly updating order delivery dates in the system, issuing invoices, and ensuring all required documentation is accurate and up to date for seamless order fulfillment.
  • Issue Tracking & Reporting: Monitoring delayed deliveries, tracking items under repair or replacement, identifying faulty products, and preparing detailed reports for the headquarters, including root cause analysis and proposed solutions.
  • Inventory Control & Stock Management: Continuously monitoring stock levels to anticipate potential stockouts, coordinating with procurement teams to replenish inventory, and ensuring critical spare parts and high-demand products are always available.
  • Cross-Functional Collaboration: Working closely with warehouse personnel, supply chain teams, and Import & Export logistics specialists to proactively manage urgent requirements, prevent delays, and optimize the order fulfillment process.
  • Process Improvement & Efficiency Enhancement: Identifying potential inefficiencies in order management, logistics, and inventory control processes, suggesting improvements, and supporting the implementation of best practices to enhance operational performance.
  • Customer Relationship & Service Quality: Ensuring a customer-centric approach by maintaining effective communication, resolving order-related issues efficiently, and contributing to overall customer satisfaction and retention.

What You Need to Be Successful

  • Bachelor's degree in business administration, Supply Chain Management, Logistics, or a related field.
  • Minimum 2-3 years of experience in order management, logistics, customer service, or a similar role.
  • Strong understanding of order processing, inventory management, and logistics operations.
  • Experience with ERP or order management systems, preferably Logo Tiger.
  • Proficiency in Microsoft Office applications, especially Excel for data tracking and reporting.
  • Excellent verbal and written communication skills in English (additional languages are a plus).
  • Strong customer-oriented mindset with the ability to handle inquiries professionally and efficiently.
  • Ability to manage customer expectations and resolve order-related issues proactively.
  • Strong analytical skills with the ability to track, report, and address order or delivery issues.
  • Proactive problem-solving approach to ensure smooth order fulfillment and customer satisfaction.
  • Ability to manage multiple tasks simultaneously, prioritize effectively, and meet deadlines in a fast-paced environment.
  • Strong attention to detail to ensure order accuracy and timely deliveries.
  • Ability to work effectively with cross-functional teams, including warehouse staff, supply chain teams, and logistics partners.
  • A proactive and cooperative attitude to enhance team efficiency and overall operational success.
  • Willingness to take initiative and contribute to process improvements.
  • Ability to adapt to a dynamic work environment and handle urgent requests efficiently.
