About the role

We seek an experienced Spare Parts Coordinator to join our team in Izmir.

Main responsibilities include:

  1. Customer Request Management: Responding promptly and professionally to customer inquiries via email or phone regarding stock availability, pricing quotations, product specifications, and urgent delivery requests.
  2. Order Processing & Shipment Coordination: Accurately processing customer orders, coordinating daily shipments, and ensuring on-time dispatch of goods by working closely with warehouse teams and logistics partners.
  3. Delivery & Invoice Management: Regularly updating order delivery dates, issuing invoices, and ensuring all required documentation is accurate and up-to-date for seamless order fulfillment.
  4. Issue Tracking & Reporting: Monitoring delayed deliveries, tracking items under repair or replacement, identifying faulty products, and preparing detailed reports for headquarters, including root cause analysis and proposed solutions.
  5. Inventory Control & Stock Management: Continuously monitoring stock levels to anticipate potential stockouts, coordinating with procurement teams to replenish inventory, and ensuring critical spare parts and high-demand products are always available.
  6. Cross-Functional Collaboration: Working closely with warehouse personnel, supply chain teams, and Import & Export logistics specialists to proactively manage urgent requirements, prevent delays, and optimize the order fulfillment process.
  7. Process Improvement & Efficiency Enhancement: Identifying potential inefficiencies in order management, logistics, and inventory control processes, suggesting improvements, and supporting the implementation of best practices to enhance operational performance.
  8. Customer Relationship & Service Quality: Ensuring a customer-centric approach by maintaining effective communication, resolving order-related issues efficiently, and contributing to overall customer satisfaction and retention.
Requirements

To be successful as a Spare Parts Coordinator, you should possess:

  1. A Bachelor's degree in Supply Chain Management, Logistics, or a related field.
  2. Minimum 2-3 years of experience in order management, logistics, customer service, or a similar role.
  3. Strong understanding of order processing, inventory management, and logistics operations.
  4. Experience with ERP or order management systems, preferably Logo Tiger.
  5. Proficiency in Microsoft Office applications, especially Excel for data tracking and reporting.
  6. Excellent verbal and written communication skills in English (additional languages are a plus).
  7. Strong customer-oriented mindset with the ability to handle inquiries professionally and efficiently.
  8. Ability to manage customer expectations and resolve order-related issues proactively.
  9. Strong analytical skills with the ability to track, report, and address order or delivery issues.
  10. Proactive problem-solving approach to ensure smooth order fulfillment and customer satisfaction.
  11. Ability to manage multiple tasks simultaneously, prioritize effectively, and meet deadlines in a fast-paced environment.
  12. Strong attention to detail to ensure order accuracy and timely deliveries.
  13. Ability to work effectively with cross-functional teams, including warehouse staff, supply chain teams, and logistics partners.
  14. A proactive and cooperative attitude to enhance team efficiency and overall operational success.
  15. Willingness to take initiative and contribute to process improvements.
  16. Ability to adapt to a dynamic work environment and handle urgent requests efficiently.
