Administrative & Communications Assistant

EAAis looking for an experiencedAdministrative and Communications Assistantto work at Istanbul office. This role is pivotal in providing executive support to the Communications Lead and the Partners. A smart and flexible approach is expected. It is crucial to be self-motivated and to have a can-do attitude for this position.

Job Description
  • Coordinating and providing administrative support to Communications Lead and Partners.
  • Contributing to the development and implementation of a broad communication strategy that successfully conveys the uniqueness of EAA's brand and design philosophy to its clients and the wider public.
  • Generating and editing textual productions in conformity with EAA's communicative and corporate strategy and standards,
  • Establishing and enhancing relationships with third parties.
  • Organizing and coordinating in-house events under the supervision of Communications Lead.

Overseeing the EAA Library under the supervision of Communications Lead.

Responsibilities
  • Efficiently being in charge of meeting arrangements including room bookings, hospitality requirements, logistics and travel arrangements including passport and visa assistance for partners.
  • Contributing to administrative support consists of editing documents, organizing, and controlling expenses.
  • Keeping positive and open working relationships with the management and the communication team.
  • Effectively coordinating meeting room set up for presentations and guests.
  • Managing meeting room calendars and studio.
  • Contributing to the EAA's entire communication system, including Linkedin, website, and newsletters to provide coherent and excellent messaging.
  • Archiving news and academic publications mentioning EAA on weekly basis.
  • Announcing the in-house events to the team.
  • Organizing and coordinating in-house events under the supervision of Communications Lead.
  • Requesting offers for the Communication Team's expenses and conveying these payments to the Finance Department.
  • Submitting online award applications under the supervision of the Communication Team.
  • Coordination of the borrowing processes of the EAA Library.
  • Ensuring all tasks are fulfilled in line with EAA standards.
  • Arranging job interviews.
  • Setting up the intern calendar.

Minimum Qualifications
  • Being able to work in EAA Istanbul office.
  • Graduated from related undergraduate programs of universities.
  • Over 2 years of professional experience as an administrative assistant, program coordinator, event planner or communications manager.
  • Able to use advanced level of English knowledge actively in written and verbal.
  • Self-assured, well-mannered, and friendly approach.
  • Working effectively under minimum supervision.
  • Proven record in complex diary management.
  • Proficient in MS Office programs and official correspondence rules in both Turkish and English.
  • Ability to manage time and priorities duties competently.
  • Distinguished written and verbal communication skills and mathematical precision.

Flexible to handle contradictory demands, able to hold the position under pressure.
