Job Overview

This is a unique opportunity to join our team as a Program Assistant and contribute to the smooth operation of our MCT Turkey Hub Office. As a key member of our team, you will provide administrative and logistical support to our department heads and senior team members, ensuring the effective implementation of our program.

Main Responsibilities

  1. Manage calendars, schedule appointments, coordinate meetings, and provide timely follow-up on workflow for department heads and senior team members.
  2. Provide administrative, logistical, and operational support for department heads and senior team members.
  3. Draft, review, and edit correspondence, reports, and presentations on behalf of the head of teams and handle incoming and outgoing communications, ensuring timely responses and appropriate follow-up.
  4. Maintain confidential files, records, and databases where relevant.
  5. Draft text, reports, graphs, and standard system-generated reports and other communications; process documents for signature, ensuring they adhere to our standards and guidelines.
  6. Assist relevant department heads in updating and maintaining iPortal, SharePoint, and OneDrive repositories for tracking, e-filing, and archiving systems, applying the appropriate record retention policies.
  7. Handle ad hoc duties assigned by relevant department heads and/or cross-cutting departments.
  8. Act as backup to other ACS colleagues in the office as needed.

Key Qualifications

  • High school diploma or equivalent with a bachelor's degree considered an advantage.
  • Minimum 5 years of relevant work experience or an equivalent combination of education and experience is required.
  • Excellent administrative, organizational, and time management skills.
  • Strong computer skills and good knowledge of relevant software applications and IFC systems (Word, Excel, PowerPoint, iDesk, iPortal, Webex, Admin Portal, SAP, etc.).
