
Facilities Operations Coordinator

Job Summary:We are seeking a highly skilled Facilities Sr Coordinator to join our team at CBRE Global Workplace Solutions (GWS). As a key member of our facilities management team, you will be responsible for ensuring the smooth operation of our site.
Key Responsibilities:- Client Support: Respond to client inquiries and concerns in a timely and professional manner, ensuring quality service delivery.
- Work Order Management: Create and assign work orders to technicians, subcontractors, and vendors, communicating effectively to ensure successful completion.
- Reporting and Documentation: Provide regular reports on open and closed work orders, verifying status with relevant technicians or vendors.
- File Maintenance: Organize and maintain files related to work orders, proposals, and department records.
- Vendor Management: Establish and verify vendor files, checking accuracy on completed paperwork.
- Maintenance Planning: Develop and implement maintenance programs for hard and soft services.
- Inspections: Assist with facility inspections, ensuring adherence to established protocols.
- Technology Utilization: Effectively use PC and/or PDA for work order systems, email, ESS, and training purposes.
- Training and Development: Participate in process and procedure training, promoting staff development and compliance.
- Investment Tracking: Monitor and track investments on behalf of clients.
- Access System Management: Ensure the Access System is up-to-date and utilized efficiently for monitoring and maintaining site access.
- Subcontractor Management: Check monthly progress payments and create invoice requests for subcontractors and CBRE.
- Sickness Absence and Leave Management: Monitor sickness absence, annual leave, and overtime, reporting irregularities to the Facility Manager.
- Appraisals and Training: Conduct annual appraisals, identifying training needs to develop staff and maintain statutory compliance.
- Risk Assessment and Compliance: Ensure contractors have necessary permits, check equipment used, and systems of work, producing SOPs as required.
- Third-Party Activity Management: Manage and monitor third-party activities on site.
- Tech Performance and Safety: Oversee technicians' performance and safety.
